Plumber invoice

A plumber invoice for call-outs, labour and parts

Most plumbing invoices are written the same evening as the job, for a customer who wants to understand the number before they pay it. Two minutes spent splitting call-out, labour and parts saves a fifteen-minute phone call later.

This page covers emergency call-outs, hourly and fixed pricing, parts, and the extra details a letting agent or landlord will ask for.

What to put on it

  • The property address where the work happened, plus the billing name if they differ.
  • The date, and the time band if you charged an out-of-hours rate.
  • Call-out or minimum charge as its own line.
  • Labour by the hour, or a fixed price with what it covered in the description.
  • Parts itemised, with sundries grouped.
  • Any deposit taken, removed as a discount, so the balance is the number at the bottom.
  • For agencies: their job or works-order reference, or the invoice will sit unpaid.

Emergency and out-of-hours work

Label the rate, do not just raise it. “Emergency call-out, 23:10 Saturday” beside a higher figure is a fact; an unexplained rate is a dispute. If your first hour is charged at a minimum, show the minimum and then the additional hours, so the customer can see the shape of the charge.

Landlords, letting agents and tenants

When a tenant calls you but an agent pays, the invoice goes to the agent with the property address on it and their works-order reference in the PO field. Agents pay on a cycle and reject anything missing a reference. Ask for it at the door.

Where the tenant is paying for damage they caused, invoice the tenant directly and describe the work factually, without apportioning blame — the invoice may be read by people who were not there.

Parts, mark-up and warranties

Itemise parts the customer could look up, group the rest as sundries, and if you offer a warranty on labour or parts, say so in the notes with its length. That single sentence is often what makes a customer choose you again — and it costs nothing to print.

Invoira does the arithmetic on what you type; it is not plumbing, tax or legal advice.

Questions

Should the invoice go to the tenant or the agent?

Whoever instructed the work. If it was an agent, bill the agent, show the property address, and include their works-order reference — most agents will not process an invoice without it.

How do I charge for a call-out that turned into a big job?

Keep the call-out or minimum as its own line and add the additional hours underneath. Merging them hides the charge and invites a question.

Can I invoice from my phone at the property?

Yes. The generator runs in a mobile browser and the PDF downloads there, so you can send it before you have packed the van.

Do I need an account?

Not to make a PDF. An account is useful if you bill the same agents repeatedly: saved clients, consecutive numbering and a record of who has paid.
