Invoice with UPI details

An invoice with a UPI QR code your client can pay in one scan

For a lot of Indian freelancers and small businesses, the fastest way to get paid is UPI. The invoice’s job is to make the ID impossible to mistype and the amount impossible to argue about, and a QR code does both: the client scans it, their app opens with your name, the amount and the invoice number filled in, and they approve.

Here is how to get the QR code on the invoice, how to lay out the payment details so they print as a clean table, and what Invoira does not do.

The scan-to-pay QR code

Write your UPI ID in the payment details of a rupee invoice, for example “UPI ID: yourname@okhdfcbank”, and a QR code prints under the payment table, on the preview and in the PDF. It holds a standard UPI payment link with your UPI ID, the name on your account, the invoice total and the invoice number as the payment note, so any UPI app (Google Pay, PhonePe, Paytm, BHIM or a bank app) can open it.

The name in the code comes from a “Name on UPI” line if you add one, otherwise from your business name. Quotations and receipts do not get a code, because neither asks for payment. If you would rather not print it, switch “UPI QR code” off under Customise, above the preview.

Putting UPI details on the invoice

In the generator, open “Add notes” and use the payment instructions field. Write one detail per line as “Label: value”. Each such line prints as a row in a small table on the invoice and on the share page, in the order you wrote it.

  • UPI ID: yourname@bank
  • Name on UPI: Your Name (as the app will show it)
  • Account name: Your Name
  • Account number: 0000 0000 0000
  • IFSC: ABCD0123456
  • Bank: Bank name, branch

What to write so the payment is right

A line without a colon, or with a web address in it, prints as an ordinary sentence, so “Please add the invoice number to the payment note” stays a sentence. Keep labels short, up to 28 characters.

Ask for the invoice number in the UPI remark. Most apps have a note field; a client who writes “INV-0032” in it saves both of you a reconciliation later. If part of the amount has already been paid, show it as a discount with a note and let the total be the balance. And say what to do after paying: “Reply with the UPI reference and I will send a receipt”.

Bank transfer as the second option

UPI has daily and per-transaction limits set by the bank and the app, so a larger invoice may need NEFT, RTGS or IMPS. Put the account number and IFSC in the same table under the UPI ID. The client then has both, and the invoice does not need re-sending when the amount is over their limit.

What Invoira does not do

It does not collect the payment, take a fee, or confirm that the money arrived; the QR code sends the client’s app straight to your UPI ID. When a payment lands you record it yourself inside an account, with the date, the method (“UPI”) and the reference from the client’s screenshot; the record is labelled as manually recorded. Invoira never touches the money.

The rest of the invoice

Pick INR and amounts print as ₹1,00,000.00, with the total also written out in words under the totals. If you are registered for GST, set the tax label and rate; the GST invoice format page covers the fields. Give the invoice a number and a due date. Download the PDF, or with a free account send a share link the client can open on a phone and read the payment table from.

Questions

Does the UPI ID print as a table?

Yes. Any payment-instruction line written as “Label: value” prints as a row, on every template, the PDF and the share page.

Can Invoira add a UPI QR code?

Yes. Put your UPI ID in the payment details of a rupee invoice and a scan-to-pay QR code prints with the amount and invoice number filled in. It is free, with or without an account.

Can the client pay from the share page?

They can read the UPI ID and bank details there. Inside an account you can add a payment link of your own, which appears as a button. Invoira does not process the payment.

How do I record a UPI payment?

Inside an account, open the invoice and record the payment with the date, “UPI” as the method and the reference. Partial payments are fine. It is marked as manually recorded.

Is it safe to print my account number on an invoice?

It is normal practice; an account number and IFSC let people pay in, not take out. Do not print card numbers, OTPs or a UPI PIN.
