Video editor invoice
A video editor invoice for cut days, revisions and deliverables
Editing invoices go wrong in the same place every time: the revisions. You quoted a cut, the client asked for a fifth version with different music, and now the invoice has to say what was included and what was not without starting an argument.
This page shows how to lay that out — edit time, included rounds, extra rounds, finishing and deliverables — and opens the generator with a worked example you can change.

What to put on it
- The project and cut: “Brand film, 90-second master” rather than “video editing”.
- Edit time as days or hours, with the rate. Quantity takes decimals, so 3.5 days is fine.
- The revision rounds your quote included, then any extra rounds as their own line.
- Finishing as separate lines: colour grade, sound mix, motion graphics, subtitles.
- Deliverables and versions — 16:9 master, 9:16 cutdown, 1:1 — because each one is work.
- Stock music or footage licences you bought for the client, at cost, on their own line.
Charging for revisions without the argument
Put the included rounds on the invoice as a zero-cost line — “Revisions: 2 rounds included (as quoted)” at 0 — and then the extra rounds as a priced line. The client sees that you honoured the quote and that round three was genuinely extra. It converts a conversation into a row in a table.
If you bill extra rounds by the hour rather than the round, say which: “Revision round 3, 4.5 h at 65” is specific enough that nobody has to ask what happened.
Deliverables and versions
A “cutdown” is not free. If the quote covered one master and the client now wants vertical and square versions with burned-in subtitles, each is a line with its own price. Name the aspect ratio and the duration so the invoice matches the files you handed over.
If you deliver through a drive or a review link, put the folder name in the notes. Months later it is the only way anyone reconstructs which invoice paid for which cut.
Using the generator
Start from the example below: it is already laid out as edit days, included revisions, an extra round, finishing and deliverables. Change the names and rates, set your currency, add tax if you charge it, and download the PDF. Nothing is uploaded and there is no account to create.

The zero-cost line is deliberate: it shows the client what the quote already covered.
Questions
Should I bill by the day or by the finished minute?
Whichever your quote used. Day rates suit unclear scope; per-deliverable pricing suits a defined cut. Do not switch between them on one invoice — pick one and add extras as separate lines.
How do I charge for a revision the client thinks was included?
Show both: the included rounds at zero, and the extra round priced. It answers the question before it is asked.
Can I bill half days?
Yes. Quantity accepts decimals, so 3.5 days at your day rate calculates correctly and rounds to your currency's precision.
Do I invoice stock licences at cost?
Most editors do, as a separate line, so the client can see it is a pass-through rather than your margin. Whether you add tax to it is a question for your accountant.
